Privacy Policy

What Fluenstra collects, why, who else touches it, and how you get it deleted. Written in plain language on purpose.

1. Who we are

Fluenstra ("Fluenstra", "we", "us") operates the website fluenstra.com and the Fluenstra platform. We are based in Dhaka, Bangladesh. For anything in this policy, write to hello@fluenstra.com.

This policy explains what happens to your information when you create an account, practise a call, talk to Maya, or post in the Community.

2. What we collect

Information you give us

  • Your name, email address and password when you create an account. Passwords are stored in hashed form by our authentication provider and are never visible to us.
  • What you tell us about your work: your service, your experience level, your typical price range, the kind of client you deal with and what you find hardest on calls.
  • A username, display name, short biography and profile photograph if you choose to add them.
  • Anything you write to Maya, and any screenshot or image you upload to her.
  • Anything you post or reply in the Community.
  • Anything you send us by email.

Information created when you use Fluenstra

  • Voice. During a practice call your speech is recorded turn by turn so it can be converted into text. That is what makes a report possible.
  • Transcripts. The written record of what you and the AI client said.
  • Reports. Scores, written feedback and the Client Replay moments generated from that transcript.
  • Usage records. When a call started, how long it ran, how many calls and teacher sessions you have used this month.
  • Memory. Short factual notes Maya keeps about your work so she does not ask you the same thing every week.

Information collected automatically

Standard technical information needed to serve the website and keep it secure, such as your IP address, browser type and the pages you requested, handled by our hosting provider.

We do not collect your location, your contacts, or anything from your camera.

3. How we use it

  • To run the service: to hold a practice call, transcribe it, write your report and store it in your dashboard.
  • To let Maya coach you usefully, including remembering the things you have told her.
  • To enforce the limits of your plan, such as how many practice calls remain this month.
  • To let a teacher read your reports before a session you have booked.
  • To answer you when you write to us.
  • To keep the platform safe, to investigate abuse, and to moderate the Community.
  • To meet our legal obligations.

We do not sell your personal information to anyone. We do not use your calls, transcripts, reports or messages to train artificial intelligence models, and we do not show you advertising.

4. Who else processes your information

Fluenstra is built on a small number of specialist providers. They process your information only to provide their part of the service and under their own security and privacy commitments.

These providers operate servers outside Bangladesh, so your information may be processed internationally. We may also disclose information where we are legally required to, or where it is necessary to protect the rights and safety of our members.

5. Artificial intelligence, stated plainly

Fluenstra uses artificial intelligence in three places, and you should know exactly where.

  • The client on your practice call is an AI, not a person. Nobody is listening live.
  • Your call report is written by an AI from the transcript of your call. It is a coaching opinion, not a certified assessment or a formal English qualification.
  • Maya is an AI assistant, not a human employee, in both the support chat and the coaching chat inside the app. If you would rather write to a person, email hello@fluenstra.com and a human will answer.

Teacher sessions are with real human teachers.

6. Storage and security

Your data is protected by security rules enforced inside the database itself, not only by the design of the pages, which means one member's records cannot be read by another member. Traffic to and from the website is encrypted. Screenshots you send to Maya go into private storage that only your own account can open, through links that expire.

No system is perfectly secure. If we ever become aware of a breach affecting your personal information, we will tell you.

7. How long we keep it

We keep your account information, transcripts, reports and history for as long as your account is open, so that you can look back at your progress. If you close your account or ask us to delete your data, we remove it from our active systems and it disappears from routine backups within 90 days. We may keep a minimal record where the law requires it.

You can delete Maya's memory of you at any time yourself, from the Brain in your account, without deleting anything else.

8. Your rights

Whatever country you are in, Fluenstra will honour the following on request:

  • Access. A copy of the personal information we hold about you.
  • Correction. Fixing anything inaccurate.
  • Deletion. Removal of your account and the data attached to it.
  • Objection and restriction. Asking us to stop a particular use.
  • Withdrawing consent. Including switching Maya's memory off entirely.

Write to hello@fluenstra.com from the email address on your account and we will act within 30 days.

9. Other people's information

When you paste a client conversation or upload a screenshot, it usually contains information about somebody else: your client's name, their company, their budget, their words. Please only share what you are entitled to share, remove anything covered by a confidentiality agreement, and never upload bank details, passwords or identity documents. We use that content only to coach you on the conversation and to build your practice call.

10. Cookies and browser storage

Fluenstra does not use advertising cookies and does not run third party advertising or tracking pixels. We use your browser's own storage to keep you signed in and to remember a small number of settings. If you block that storage, you will not be able to stay logged in.

11. Children

Fluenstra is built for working professionals and is not intended for anyone under 16. We do not knowingly collect information from children. If you believe a child has created an account, write to us and we will remove it.

12. Changes to this policy

If we change this policy we will update the date at the top of the page, and for anything significant we will tell members by email.

13. Contact

Questions, requests or complaints about privacy go to hello@fluenstra.com. A human reads that address and replies within one working day.
